The Operations Coordinator is a live-on position that serves in an on-call duty rotation and contributes directly to the general operation of the Student Affairs division. The Operations Coordinator is responsible for data processing activities to assist with enhancing the student experience and supports the Associate Vice-President, Residence Life, Student Conduct and Title IX, Campus Safety, and Student Engagement. The Operations Coordinator is a full-time, hourly (non-exempt) position.

This position manages all data for the Student Affairs division, including but not limited to; Colleague, Slate, StarRez, Maxient, Sharepoint, Qualtrics, Microsoft suite, and Canva. The role will create and maintain reporting dashboards for professional staff and provide meaningful summaries of the data for the purpose of reporting metrics on programming, housing, community standards, and assessment of the curricular approach. The position reports directly to the Associate Vice President for Student Affairs.


  • Serve in an on-call crisis duty rotation

Provide technical support on Student Affairs data that allows the division to make better decisions about operations:

  • Ensure quality and accuracy of data within Colleague, StarRez, and Maxient
  • Support the fall and spring check-in process on campus
  • Develop avenues for collecting student affairs data in the Maxient and StarRez, and other systems, based on understanding the types of information that will be useful
  • Process data, prepare and disseminate reports to senior leadership in Student Affairs
  • Provide support for Student Affairs operations including, but not limited to, housing selection and records, student conduct process, student leadership recruitment, campus safety, professional searches, scheduling, and budgets
  • Generate annual reports, goals and assessment documents and metrics under guidance of the AVP
  • Run queries of student affairs information and related documents to review and maintain data integrity of electronic records. Consolidate records, follow-up and troubleshoot missing materials or minor issues with application materials
  • Work in conjunction with other data analytics roles across campus to better understand data available and how it may be useful to Student Affairs.
  • Responsible for the import of data from all inquiry sources and the creation of queries to review the quality of the data.
  • Assess, improve, and maintain the operational and technical aspects of student information data, focusing on best practices in technology utilization and limiting manual processes when possible
  • Participates in and assists with special projects at the discretion of the AVP

Provide operational support to Student Affairs division:

  • Answer and triage phone calls
  • Schedule appointments, meetings, and conferences for the AVP
  • Provide support to colleagues in the Student Affairs Division, as directed by the AVP
  • Provide administrative support around the timely and accurate submission of documentation, including credit card reporting, invoices, and receipts
  • Provide support for student affairs and other college events as directed
  • Provide organizational support to the AVP by keeping the calendar up to date, records in order and preparation for meetings and reports on track
  • Assure office procedures are maintained and suggest efficiencies, as identified
  • Hire, train, and supervise student associates in Student Affairs suite as needed
  • Schedule meeting spaces and related technology, as needed

Requirements and Qualifications

  • Bachelor’s degree preferred
  • Experience in higher education setting
  • This position demands flexibility and excellent communication skills and as it interfaces with campus and external personnel (parents, alumni and community visitors)
  • Proficient with Microsoft Office suite and experience in marketing
  • Experience using Colleague or other student information system and Maxient or relevant experience that indicates and aptitude for learning these systems
  • Excellent organizational skills and self-motivated to take initiative and continue learning
  • Excellent multitasking skills. Be ready to assist in any function of the division
  • Ability to produce under tight deadlines with multiple priorities
